The Recruiting Process
Step 3: Request Permission to Hire
Once a final applicant is selected, the department should submit a Search and Selection Summary* (S&SS) form in workflow to the Office of Faculty Affairs and Development. For appointments at the rank of Assistant Professor or above, an Executive Committee Packet should also be attached to the Search and Selection Summary.
Executive Committee Packets shall be one .pdf document attached to the S&SS and contain:
- DEO to Dean letter
- Letter should contain information on: faculty vote, teaching, assigned mentor and protected time
- CV in Carver College of Medicine format
- Letters of Reference
- Tenure Track: 2 of 3 letters must be external to the institution
- Clinical Track (trained elsewhere): 1 of 3 letters must be external to the institution
- Clinical Track (trained at Iowa): All letters may be internal
- Unpaid Appointments: 2 letters required
Search and Selection Summary Forms shall contain:
- Draft Offer Letter
- Associate Offer Letter
- Clinical Track Offer Letter
- Tenure Track Offer Letter for the Medical Practitioner
- Tenure Track Offer Letter for the Non-medical Practitioner
- Executive Committee Packet for appointments at the rank of Assistant Professor or above.
- For Associate level appointments, letters of recommendations are not required, but desired. A DEO to Dean letter and CV in Carver College of Medicine format are still necessary.
- Candidate Write-ups
The Executive Committee reviews and approves the proposed appointment before the Recruitment Summary packet and/or Search and Selection Summary form is routed to the Dean, Office of the Provost and the Office of Equal Opportunity and Diversity for approval. Notification of approval to offer a position will be sent by Lori Posey or automatically by the workflow computer system.
During this time, the department may not obtain a signed offer letter. A draft offer letter, clearly marked as a draft and without signatures may be given to the candidate as a preliminary document.
